1. Who is responsible
Jotikin is the controller of personal data used to operate this website, manage accounts and communicate with prospective and current customers. When a business uses Jotikin to manage its own customers, workers and jobs, that business is normally the controller and Jotikin acts as its processor. Privacy questions can be sent to support@jotikin.com.
2. Information we collect
We may collect account and contact details; business and team information; customer, job, quote and invoice records entered into the service; messages and support requests; uploaded photos and documents; subscription and transaction references; and technical information such as device, browser, IP address, security events and service logs.
3. How we use information
We use personal data to provide and secure Jotikin, create and administer accounts, deliver requested features, respond to support, process subscriptions, prevent abuse, maintain records, improve reliability and comply with legal obligations. We do not sell personal data.
4. Legal bases
Depending on the context, processing is necessary to perform a contract or take requested pre-contract steps; comply with law; protect legitimate interests such as service security, support and improvement; or is based on consent where consent is required. You may withdraw consent at any time without affecting earlier lawful processing.
5. Sharing and processors
We share information only where needed with vetted providers supporting hosting, authentication, communications, payments, monitoring and customer support; with professional advisers; during a legitimate business reorganisation; or where law requires it. Providers may only use data under our instructions and appropriate safeguards.
6. International transfers
If personal data is processed outside the European Economic Area, we use an approved transfer mechanism where required, such as an adequacy decision or standard contractual clauses, together with appropriate supplementary safeguards.
7. Retention
We keep personal data only as long as needed for the purpose collected, including while an account is active and for reasonable periods afterwards for backup, security, dispute and legal-record requirements. Retention depends on the type of record and applicable obligations. Data is deleted or anonymised when no longer required.
8. Your rights
Subject to applicable law, you may ask for access, correction, deletion, restriction, portability or objection to processing, and may withdraw consent. You may also complain to the Irish Data Protection Commission or your local supervisory authority. We may need to verify your identity before acting on a request.
9. Security
We use organisational and technical measures designed to protect personal data, including access controls, secure transport, monitoring and backups. No system is completely secure, so please use strong credentials and tell us promptly if you suspect misuse.
10. Children
Jotikin is a business service and is not directed to children. We do not knowingly invite children to create accounts.
11. Cookies and similar storage
The marketing site currently uses only essential browser storage needed to remember that you have seen the cookie notice. It does not currently use advertising or analytics cookies. The authenticated Jotikin application may use strictly necessary session and security technologies. Read our Cookie Notice for details.
12. Changes
We may update this policy as Jotikin develops. We will publish the revised date and provide appropriate notice of material changes.
